Missions formalities

LPTMS guests:

If applicable, the laboratory can reserve your accommodation and transport tickets. In order to do so, your host, who must be a member of the LPTMS laboratory, must notify Claudine Le Vaou / Karolina Kolodziej (e-mail addresse: secretariat.lptms@lptms.u-psud.fr), at least 1 month before your arrival by providing your contact details (e-mail, dates of the visit, details of the reimbursement/funding).

On the day of your arrival at the LPTMS, you will have assigned an office space and be provided with a badge to enter the building. You will also have access to the LPTMS computer network via the visitor wifi or Eduroam, access to the building's library and to the campus canteen.

IF LPTMS COVERS ALL OR SOME OF YOUR EXPENSES, please check possible scenarios and follow the instructions.

Scientists and students working in a French research laboratory with expenses covered by the LPTMS (accomodation and travel arranged by the LPTMS):

To reserve your accommodation and transport tickets, please provide the following information:

  • First and Last Name (as shown on your passport or ID)
  • Personal address
  • Work address
  • Status
  • Nationality
  • RIB (if reimbursement requested for other expenses, like meals and local transport)
  • Phone number
  • Date of Birth
  • Selected itineraries (dates, times, means of transport) and hotel preferences

Meals and local transport costs will be reimbursed upon presentation of the original receipts. The amount of the lump sum for a meal taken in the campus canteen is 8.75 euros and for the one taken outside of the canteen it is 17.50 euros.

If you book your accommodation yourself, you will only be reimbursed up to 70 euros per night on presentation of the original invoice. In accordance with CNRS policy, accommodation reservations via platforms such as Airbnb will not be reimbursed.

Transport ticket reservations made by yourself will not be refunded.

If you are not employed by the CNRS, you must provide a "mission sans frais" document from your employing organization / establishment.

Scientists and students working in a foreign research laboratory with expenses covered by the LPTMS (possibility of arranging accomodation and travel by LPTMS):

If you wish your accomodaction and transport tickets can be reserved directly by the LPTMS. In order for us to do so, please provide the following information:

  • First and Last Name (as shown in your passport or ID)
  • Personal address
  • Work address
  • Status
  • Nationality
  • RIB - bank account information, preferably an official document from your bank (if refund of other expenses like meals and local transport tickets)
  • Phone number
  • Date of Birth
  • Selected itineraries (dates, times, means of transport) and hotel preferences.

If you book your accommodation and transport yourself, reimbursement of expenses incurred will only be made on presentation of original tickets and receipts (economy class transport tickets, hotel invoice, meal tickets, local transport tickets) . The maximum amount of reimbursement for a hotel night is 120 euros. The amount of the lump sum for a meal taken in the campus canteen is 8.75 euros and the maximum amount for a meal taken outside the canteen is 35 euros. The reimbursement will be made by bank transfer to your personal bank account.

Hosting agreement - convention d'accueil:

If you need a hosting agreement, you are invited to download the following form, fill in the “Cadre B” section - (the document is in french, please let Claudine Le Vaou / Karolina Kolodziej, e-mail addresse: secretariat.lptms@lptms.u-psud.fr, know if you need any help with it), sign the document and send it back to the e-mail mentioned above at least three months before your visit. Along with the form please provide the following documents:

  • Copy of your passport
  • If you are already in France, copy of your current residence permit
  • Certificate of funding from your employer that mentions the dates of your stay
  • If you are employed abroad and come for a stay of more than 3 months, a certificate of your employment
  • Copy of the diploma (Master 2 or doctorate) or possibly a certificate on honor if you do not dispose of the original document yet

The hosting agreements are established by the personnel department of the Faculty of Sciences of the University of Paris-Saclay and only allow obtaining a scientific visa.
